Terms and Conditions for Charity, Community and Grassroots Work

Eligibility

This initiative is designed for registered charities, community groups, grassroots movements and non profit organisations. Proof of eligibility may be requested, such as charity registration details, confirmation from a partner organisation or a short description of your project and the community it supports.

Non Transferable

Support is offered specifically to the named organisation or project. It cannot be transferred, exchanged for cash or applied to unrelated commercial work unless agreed in writing.

Availability

Free and low cost sessions are limited to a set number per month to ensure sustainability. Availability will vary depending on current workload, and offers may be paused, updated or withdrawn at any time without prior notice.

Mileage and Expenses

Where a session is provided free of charge or at a reduced rate, organisations may be asked to cover mileage or minimal operational costs if their budget allows. This will always be discussed openly and agreed before confirming any booking. If this is not possible, the support can still be offered for free.

Project Scope

The nature of the session, including deliverables, filming time and locations, will be agreed before the work begins. Any additional requests or extended scope may require a separate agreement or additional time, depending on availability.

Data Protection

Any personal information provided to confirm eligibility or arrange a session will be used only for those purposes and will be handled in accordance with UK GDPR. Verification documents, if provided, will be securely deleted within 30 days.

Commercial Use and Licensing

Standard licensing terms apply to all charity and community work unless otherwise agreed in writing. Organisations are granted usage rights suitable for the agreed purpose, for example social media, websites, presentations, awareness campaigns or internal use.

If you require wider usage, such as broadcast, commercial advertising or third party distribution, this must be agreed in advance and may require additional licensing.

Copyright and Intellectual Property

All film footage, photographs and creative content remain the intellectual property and copyright of Rebecca Amanda Jane Banks / Equal Focus Productions unless a separate agreement is created.

Full copyright transfer or extended licensing can be arranged where appropriate, but must be set out in a separate contract and may incur an additional fee.

Fair Use

This initiative is intended to support genuine community focussed projects and make storytelling more accessible. Misuse or misrepresentation of eligibility may result in the offer being withdrawn.

Right to Refuse Service

I reserve the right to decline or discontinue a booking if the project or circumstances are unsafe, unethical or incompatible with my professional standards. This will always be handled respectfully and in line with the Equality Act 2010.

If a booking is cancelled for these reasons, any deposit relating to unfulfilled work will be refunded, except for parts of the service already completed.
